The Administrative Associate at Phans for Racial Equity is a remote, contract role dedicated to advancing our mission to create an antiracist live music scene and promote collective liberation through community engagement and strategic initiatives. This administrative position involves 40 hours per month at $30/hour. Key responsibilities include handling administrative tasks for the organization, including scheduling committee meetings, coordinating logistics, preparing agendas, maintaining program documentation, and monitoring organizational finances. The ideal candidate is a passionate, detail-oriented organizer committed to social impact and building relationships that support racial equity in the live music space.

Responsibilities 

Administrative & Operations

  • Handle essential administrative tasks, including scheduling meetings, coordinating logistics, preparing agendas, and maintaining program documentation.

  • Attend volunteer committee and board meetings, as well as support communication and follow-through around programmatic priorities.

  • Coordinate and communicate with volunteers to prepare them for their volunteer events.

Communication and Outreach

  • Support the creation of marketing materials, social media content, and newsletters that highlight key program initiatives, such as tabling events and Indigenous Land Acknowledgements.

  • Utilize CRM software, including Donor Snap, to manage and maintain relationships with fans and streamline communication.

Finance

  • Plan and monitor budgets to align with organizational goals, effectively managing resources for sustainability and growth.

  • Track expenses, control costs, and ensure compliance with financial regulations to support transparency and accountability.

  • Provide regular financial reports, make budget adjustments as necessary, and coordinate the tax filing process.

  • Complete monthly reconciliations in QuickBooks and ensure seamless integration with the bank for accurate tracking.

  • Process reimbursements for board members and volunteers, and track in-kind donations for reporting and compliance.

Preferred Qualifications

Experience

  • Experience in a related field (e.g., Nonprofit Management, Event Planning, Communications, Social Work, or Business Administration).

  • At least 1-2 years of relevant experience in program coordination, nonprofit administration, or community engagement.

Skills & Competencies

  • Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.

  • Excellent written and verbal communication skills; able to create clear, engaging content for various platforms.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Experience with budgeting, expense tracking, and financial reporting, ideally using QuickBooks or similar software.

  • Familiarity with CRM systems (e.g., Donor Snap) for managing stakeholder relationships.

Technical Knowledge

  • Basic understanding of social media platforms and marketing tools.

  • Knowledge of graphic design software (e.g., Canva) for content creation is a plus.
